Use these fields (LNELNO, LNELN2-5) in the Event Letters, Numbers & Dates field group to select the letter numbers you want to use with each event. Letter numbers are set up using the Loans > System Setup Screens, click the list icon jump, and select Event Letter Descriptions from the list that appears. More than one letter can be set up for each event. For example, for the Specialty Request Letter (event 24), you could have a letter generate if a payoff is past due; if the insurance is due on the collateral of the loan; if you are missing the title for the collateral connected to the loan; or for any other reason you need to send a letter to this customer.

 

This field is optional for all but the late notices (see Note About Late Notices below). If you do not assign a letter number, the system defaults with letter number 0. You can create more than one letter to accompany specific events. For example, if the system automatically generated a “closed loan letter,” GOLD EventLetters would automatically assign it event 22, letter 0. However, perhaps you have different letters you want for different loan accounts when they are closed, such as a closed-loan letter for mortgage loans verses a closed-loan letter for line-of-credit loans. You would need to complete the following steps:

 

1.Set up the letter with the appropriate wording and the appropriate merge fields in Microsoft Word.

2.Set up the letter numbers on the Event Letter Descriptions.

3.Assign the letter number and the Closed Loan Event (event 22) to the applicable accounts using the Actions/Holds/Events tab. During the night of the letter date, the system will create the letter.

 

When you create your event letter in Microsoft® Word®, you may want to name the Word file with a similar name to this event letter. See Tying Data Source Files into Letters Using Word 2010 in the GOLD EventLetters User's Guide in DocsOnWeb for more information.

 

For a list of all available events for the Loan system, see the Loan Event Description topic in the GOLD EventLetters User's Guide in DocsOnWeb. Before you add any event letters in the step above, you should first review which events are available.

 

Note About Late Notices

 

You can create late notices using event numbers 44, 45, 46, but we recommend you use the Notice Type fields on the Account Detail screen > Late/NSF tab (see the Notice Type field description for more information). However, you can set up late notice records to run by using the Event, Letter, and Date fields on this screen, but if you do use this screen to set them up, you must enter a Letter number. The system does not recognize blank or 0 letters for late charge notices.

 

Additionally, if any of the following Hold Codes are on the loan, the late notice record will not be created:

 

1 (foreclosure completed)

2 (charge-off)

4 (bankruptcy Chapter 7, 11, or 12)

5 (bankruptcy Chapter 13)

6 (Deed in lieu of foreclosure)

7 (legal hold), but only if accompanied by a charge-off

9 (legal hold)

27 (loan in default)

90 (judgment awarded), but only if accompanied by a charge-off

92 (voluntary surrender)

93 (repossession by grantor)

 

Additionally, loans with a General Category of 80 (charge-offs, and above or loans with an Origination Code of 3, 15, or 16 (loans purchased/serviced by others) will not create letters.
