Use the Detailed Personal Information tab on the Names tab of the Households screen (or on the Customer Info tab of the Customer Relationship Management > Customer Profile screen) to view and edit personal information about the household name selected in the Household Names list view.

 

Press the <OFAC> button in the middle-right section of this tab to run an OFAC check on the name selected in the list view. See below for more information about OFAC.

The fields on this tab are as follows:

 

Field

Description

Name fields

 

Mnemonic: NDLNAM, NDFNAM, NDMNAM, NDTITL, NDSFFX

Use these fields to indicate the Last Name, First Name, Middle Name, and any applicable Title and/or Suffix of the household member being created/edited. Title examples include Mr., Dr., Mrs., Ms., Gen., Lt., Miss, Rev., etc.

 

Suffix examples include Jr., Sr., Esq., III, PhD, DDS., etc. If the desired suffix is not available, your institution can define additional suffix values on the Loans > System Setup Screens > Generation Codes screen. Suffixes will appear alongside the customer's name throughout CIM GOLD (including the title bar at the top of the screen).

 

Business Names

If the selected ID Type (see below) can define a business name (all ID Type codes greater than or equal to 100), the Last/First/Middle name fields will be replaced by a single Business Name field (NDLNAM, 50 character limit). This is to reduce confusion and unnecessary repetition when adding business names to a household. The business name will be saved in the Last Name column of the Names list, unless the business name is longer than 20 characters. If so, the business name will then carry over into the First Name column for the following 20 characters and the Middle Name column for the final 10 characters. If you need to designate an ID Type code 100 or higher but still want to indicate an individual's full name, note that the name will be saved in the Names list according to the following breakdown:

 

The first 20 characters will be saved in the Last Name column.

The next 20 characters will be saved in the First Name column.

The last 10 characters will be saved in the Middle Name column.

 

For Example: You want to enter the full name "James Henry Rackham" but are using ID Type code 102 which turns the three name entry fields into one single field. You need to enter "Rackham" followed by thirteen blank spaces, then "James" followed by fifteen blank spaces, then finally "Henry." The First, Middle, and Last name will each be saved in the proper column.

Note: When adding a new name to a household, it is recommended that you run an OFAC search on the name to ensure that your institution is in compliance with government regulations (see the top of this help page for more information).

Gender radio buttons

 

Mnemonic: NDGEND

Use these fields to indicate whether the household member being created/edited is Male or Female. Mark the Not Applicable field if the household member is an institution or business rather than an individual.

Preferred Name

 

Mnemonic: NDPRFD

Use this field to indicate the name by which the household member being created/edited prefers correspondence sent to them be addressed.

Mother's Maiden Name

 

Mnemonic: NDMAID

Use this field to indicate the maiden name of the mother of the household member being created/edited.

Tax ID fields

 

Mnemonic: NDCSSN, NDCTYP

Use the Tax ID/Customer ID field to indicate the tax identification number or customer identification number of the household member being created/edited. Use the ID Type field to indicate the type of identification referred to. See below for a list of possible ID types.

 

The selection in this field might alter the appearance of the Name fields (see above).

 

 

If the identification number represents a Social Security number and is later changed, be sure to consult the Customer Relationship Management > Social Change screen to confirm that the process of updating the system with the new SSN has been completed.

Note: If institution option OP27 MSSC is set up for your institution, Social Security numbers will be masked for all but the last four numbers on all screens and reports.

 

Customer Approval Date

 

Mnemonic: CSCICAPD

Use this field to indicate the date when the household member being created/edited was approved for a loan.

Birth Date/Birth Place

 

Mnemonic: NDBDAT, NDBPLC

The Birth Date and Birth Place fields show the birth date and birth place of the person. These fields are usually brought over when a loan or deposit account are opened. If you have proper authority, you can make changes to these fields.

 

Important: If the borrower only has an Individual Taxpayer Identification Number (ITIN) and not a Social Security number, make sure this field is entered. Metro 2 guidelines state that if the identification number is not a Social Security number, then the Social Security number field in the transmission should be blank or filled with “0” or “9” in all positions. It specifically states to not report ITINs in the Social Security number field. It further states that the Date of Birth must be entered if Social Security number is not included. See the Credit Report and transmission (FPSRP184) for more information.

Death Date/Death Recorded Date

 

Mnemonic: NDDTDT, NDDDRD

If the household member is deceased, use the Death Date field to indicate the death date of the household member being created/edited. This field is found on several screens in CIM GOLD including the Loans > Marketing and Collections and Loans > Insurance > Adjustments screens. A user can file maintain the death date from one of these three screens and it will apply to every screen.

 

When a Death Date is entered, the system records the death date and a new field appears to the right (as shown below): Death Recorded Date (NDDDRD).

This date is used in Credit Reporting decisions described below.

 

For loan accounts, at monthend following the Death Recorded Date entry, the system performs the following:

 

Changes the Account Ownership code for that customer to "20" (Deceased).

 

The ECOA Code for the loan customer changes to "X" (Consumer Deceased), unless it's already set to "Q" (Do not report to Credit Bureaus). Or if institution option DADP is set, then the ECOA Code is set to "T - Terminated." This information is passed to the Credit Report and transmission in the Base Segment or J1/J2 Segment of the loan accounts with which this person is associated.

 

The month following the report of the death, the system does the following:

 

If it was the IRS Owner who died and there is another living borrower on the loan (only Account Ownership codes 1-4), the monthend credit reporting update process will select the first living borrower on the account to be the IRS Owner. The IRS Owner who died moves to the J1/J2 Segment and continues to report with ECOA Code "X" until the loan is closed. It's up to your institution as to how you want to handle the deceased borrower after that, such as remove their name from the account.

 

If there is no other co-borrower on the loan, the IRS Owner continues to report in the Base Segment with an X until the loan is closed or released. Follow your institution's protocols as to how to handle the account.

 

If the Death Date is cleared because of a mistake (e.g., applied the Death Date to the wrong person), all of the preceding items are reversed.

 

Deposit Accounts: This only applies to loan accounts. Deposit or other accounts are not reported with ECOA Code X (unless you manually change the ECOA Code to be "X").

Scenario

 

Grandpa Gerald and his son Marty get a loan for a car. Grandpa Gerald is listed as the IRS Owner on the account, but they are both co-owners. Grandpa Gerald dies before the account is paid off, but the account is still open and Marty is responsible for paying off the rest. After entering Grandpa Gerald's Death Date, at monthend, the system will automatically assign Grandpa Gerald with Account Ownership "20 - Deceased" and ECOA Code "X - Deceased." The next month, Marty will be assigned as the IRS Owner, which means the Credit Report transmission will list Marty as the IRS Owner in the Base Segment, and Grandpa Gerald will be listed in the J1 Segment with ECOA Code "X - Deceased."

 

From that same example, if the account is paid off and closed the same month as Grandpa Gerald's Death Recorded Date or the month following, the system will maintain Grandpa Gerald as the IRS Owner in the Base Segment with ECOA Code "X - Deceased," and Marty will stay listed in the J2 Segment.

 

Note: Anyone with ECOA Code "Q" (Do not report to Credit Bureaus) will not have the ECOA Code replaced with "X" if a Death Date is entered.

Note: An option is available that will cause the system to possibly delete deceased IRS owners’ accounts in the Credit Report transmission (FPSRP184). With this option, the account tied to the deceased person will be included in the monthend following the Death Recorded Date. If the deceased person is a co-borrower and not listed as the IRS Owner, then the Credit Report will include the IRS owner’s information, but the deceased co-owner’s ECOA Code will be reported with "T - Terminated."

 

In the month following the Death Recorded Date and the IRS Owner is the one who died, the co-borrower will become the IRS Owner and the co-borrower’s information will be moved from the J1 Segment to the Base Segment of the report, while the deceased person’s will move to the J1/J2 Segment and reported with ECOA Code "T- Terminated."

 

If there are no living account owners (Account Ownership codes 1-4), the account is reported with an Account Status of "DA." This status deletes the account from the credit repository.

 

If your institution would like to use this option, please send in a work order to have GOLDPoint Systems turn on institution option DADP (Drop CB Accounts for Deceased Persons).

ID fields

 

Mnemonic: NDLIC#, NDID2#, NDLIST, NDDLP2

Use the Driver's License and/or Additional ID fields to indicate the ID number(s) used as reference on the account of the household member being created/edited. Examples of Additional ID types include passports and birth certificates. Once an ID number is specified, indicate further information about the household member's ID in the State, Issued Date, and Expiration Date fields.

Relation to Head

 

Mnemonic: NDRELA

Use this field to indicate the relationship of the household member being created/edited to the head of the household.

External Customer ID

 

Mnemonic: CSCIXCID

Use this field to indicate the external ID of the household member being created/edited, if the household member is a customer of another institution.

Skip Name Key

 

Mnemonic: NDNNKY

Use this field to indicate whether the name of the household member being created/edited should appear when the system performs searches.

Is Employee

 

Mnemonic: NDISEM

Use this field to indicate whether the household member being created/edited is an employee at your institution.

Skip Social Security Number Key

 

Mnemonic: NDNSKY

Use this field to indicate whether the Social Security number, employer identification number, or customer identification number (as indicated in the Tax ID/Customer ID field) will appear when the system performs searches.

Is Officer

 

Mnemonic: NDISOF

Use this field to indicate whether the household member being created/edited is an offer at your institution.

Ignore Merge

 

Mnemonic: NAIGNM

Use this field to indicate whether the household member being created/edited should be skipped during the data merge that occurs as part of the system's periodic consolidation of CIF households.

Checked ID

 

Mnemonic: NDCKID

Use this field to indicate whether the ID of the household member being created/edited (as indicated in the Tax ID/Customer ID field) has been verified.

Active Military

 

Mnemonic: NDACML

Use this field to indicate whether the the household member being created/edited is an active military servicemember and therefore subject to rights under the Military Lending Act. The system generally populates this field from GOLDTrakPC mnemonic MLA_ACTIVE_MIL_PTL (MLA Active Mil).

Never Drop

 

Mnemonic: NDNODR

Use this field to indicate that the selected household should never be dropped from the system.

Mobile Registered User

 

Mnemonic: NDMRUR

Use this field to indicate whether the selected household member has registered for your institution's mobile app.

 

At present, this field is only used for for manual adjustment and reference purposes. In other words, checking this box (or leaving it blank) does not affect any other fields or functions in CIM GOLD.

Physical/Mailing Address

 

Mnemonic: NDPHAD, NDMLAD

Use these fields to indicate the physical and mailing addresses of the household member being created/edited. Addresses must be set up on the Addresses tab before they can be available to select in this field.

 

Certain statements and options determine whether addresses listed on the Names tab are used for mailings, as opposed to the addresses connected to accounts  (see Property or Mailing Address on the Accounts tab). Borrowers can have different addresses set up for accounts then what they have connected to their name.

 

For example, a business account may have certain addresses connected to the account, but the person connected to that business may have different addresses connected to their name. The Move To field group on the Addresses tab can help you quickly move addresses from account to name, or vice versa.

Note: If your institution checks for updated customer address information through the National Change Of Address (NCOA) registry, the system will automatically update these fields if the customer changes address.

 

Occupation

 

Mnemonic: NDOCCU

Use this field to indicate the occupation of the household member being created/edited. This information is automatically carried over from the Customer Relationship Management > Employment Information screen if valid information is entered on that screen.

Employer

 

Mnemonic: NDEMPL

Use this field to indicate the employer of the household member being created/edited. This information is automatically carried over from the Customer Relationship Management > Employment Information screen if valid information is entered on that screen.

Consumer Information Indicator field/list

 

Mnemonic: NDCIID

This field (or list view) is usually maintained by the system when a Bankruptcy transaction is run on the account. However, if you have proper security, you can make changes to it. This field indicates the customer information indicator (CII) code that applies to the household and is used in Credit Reporting. This field appears differently if your institution uses the new Bankruptcy system (Institution Option UNBK). See below for more information.

 

Salary Pointer

 

Mnemonic: NDSALR

Use this field to indicate the salary of the selected household member. This information is mainly for reference purposes and will be visible on the Names/Personal tab.

Note: Do not enter a decimal or comma in this field. Simply enter the main leading digits of the salary (i.e. enter "45" for $45,000, "100" for $100,000, etc).

NAICS Code

 

Mnemonic: NDNAIC

Use this field to indicate the North American Industrial Code Standards (NAICS) code for the household member. NAICS is an industry classification system that groups establishments into industries based on the activities in which they are primarily engaged. It is a comprehensive system covering the entire field of economic activities, producing and nonproducing. See below for more information.
