You can send a letter to your customers any time a one-time future payment is made through EZPay. Additionally, a letter can be generated any time future payments are canceled. GOLD EventLetters is a product that allows downloaded events to generate on pre-merged letters set up in Microsoft® Word®. The letters can then be printed and sent to your customers notifying them of events that took place on their account. See the GOLD EventLetters manual on DocsOnWeb for more information.

 

In order to use these event letters, your GOLDPoint Systems account manager must set up the Write Event Letters option (EZWREL). Once the option is set up, GOLD EventLetters will generate and download event 60 (One-time Electronic Payment Letter) and 61 (Canceled Event Letter) immediately after a future payment is canceled by your customers (and at least one day later from when the future payment was created).

 

Event 60 – One-time Electronic Payment Letter

 

You can send your customers a letter any time a one-time future payment is submitted through the EZPay screen. The event record, event 60, is created immediately after the payment is submitted, rather than during the afterhours.

 

Immediately following the successful completion of the future payment, a record is created in GOLD EventLetters. These records are found when you download events from GOLD EventLetters. Then you need to tie the fields with this event using Microsoft Word's Mail Merge feature. See Event 60 in the GOLD EventLetters manual for more information.

 

An option is available that allows you to send this event letter electronically at the time an ACH payment is made through EZPay. See Email Event Letter 60 (EZEMLN) for more information.

 

Event 61 – Cancelled Event Letter

 

The Cancelled Event Letter (event 61) record is automatically generated when your customers cancel future payments. This letter will not generate for same-day cancellation of future payments. Additionally, this letter is not included on the Event Letter Report (FPSRP175). See Event 61 in the GOLD EventLetters manual for more information.
