Early October

Year-end document emailed to institution liaison. The email includes two PDF documents: the year-end booklet that describes the questions on the Client Year-end Reporting Setup Form, and the PDF-fillable Client Year-end Reporting Setup Form that clients must complete and return to GOLDPoint Systems, so we have the parameters for processing the test and year-end.

End of October

Institutions return Client Year-end Reporting Setup Form for Deposits to GOLDPoint Systems. This form is due at GOLDPoint Systems by October 30.

Beginning of November

GOLDPoint Systems programmers set up parameters for the actual year-end run according to directions on the returned Client Year-end Reporting Setup Form.

November

Test statements and reports are processed. Clients can access tests to review in GOLDView Plus.

November

Someone at your institution and a GOLDPoint Systems account manager review reports and statements. Any adjustments must be noted in writing. Changes are forwarded to GOLDPoint Systems programming.

November/December

By now you should have identified and corrected any problems (missing Social Security numbers, bad addresses, etc.).

January 2

Remember to close your General Ledger books on the first working day of the new year so that your General Ledger reports use the proper balances. See section 8.1, Close Balances to Next Year, in the General Ledger User's Guide. If you have further questions, reach out to your GOLDPoint Systems accounting team member.

January 1—Mid-January

GOLDPoint Systems begins year-end processing. Statements and reports are processed and made available in GOLDView Plus. Important: It is your institution's responsibility to download all forms from GOLDView Plus and CIM GOLD and send them to your customers by IRS deadlines, unless you have indicated on the Client Year-end Reporting Setup Form that you want GOLDPoint Systems to mail your customer's statements/forms (see Shipping).

 

You can print as many copies as you need from GOLDView Plus. For example, you may send a copy to customers, as well as download copies for your own records.

Early—Mid-January

Clients who need changes and reruns, due to not identifying errors on their test reports, will be processed after all other clients have had their year-end processing run. GOLDPoint Systems will also charge for programming changes and reruns if these items could have been found on the test reports. Please review your tests thoroughly in November so GOLDPoint Systems can begin to process your year-end without making changes to your year-end parameters.

Early—Mid-February

GOLDPoint Systems will send a “Transmittal of Information Returns” to be reviewed by your institution, signed, and returned to GOLDPoint Systems by mid-February. We cannot transmit your file to the IRS without having the signed original of this form.

Mid-February—February

GOLDPoint Systems begins to transmit to the IRS. As both GOLDPoint Systems and the IRS only have a limited number of lines, GOLDPoint Systems must begin transmitting as soon as possible. We generally transmit for each client shortly after receiving the returned transmittal form. Please do not wait to return this transmittal form.  

 

Although the data is transmitted in February, it is taken from your year-end file. All data is current as of December 31. If you add items to a deposit account in January, the change will not be on your year-end file. This means your statements will not have the change, nor will it be transmitted to the IRS. It would need to be sent as a correction. Refer to section 1.04, IRS Forms and Corrections, for further information.

Remember: Failure to file correct information to the IRS by established deadlines will result in extra penalties from the IRS.
